When you create a Vindica account, we collect your full name, email address, broker-dealer or firm name, and a password (stored in encrypted form — we never store your password in plain text).

1.2 Case Information You Enter

Vindica is designed to help you organize your defense in a FINRA arbitration proceeding. To do so, you may enter sensitive professional and client-related information. You are solely responsible for redacting any personally identifiable information about your clients before entering it into Vindica. We strongly recommend removing client names, addresses, account numbers, and Social Security numbers before using our platform.

1.3 Usage Data

We automatically collect certain technical information when you use Vindica, including browser type, device type, pages visited, session duration, and IP address. This information is used to improve the platform and diagnose technical issues.

2. How We Use Your Information

We use the information you provide to provide and operate the Vindica platform, generate AI-powered defense preparation documents, save your case progress between sessions, send account-related communications, improve our platform, and comply with legal obligations. We do not sell, rent, or share your personal information or case information with third parties for marketing purposes.

3. AI Processing — How Your Data Is Used With Our AI Provider

Your case information is processed by an artificial intelligence system to generate defense documents. Here is exactly how that works.

Vindica uses a commercial AI API to power document generation. When you click "Generate Defense Document," the information you have entered is transmitted securely to our AI provider for processing.

Under our commercial API agreement:

All data transmitted between your browser, our servers, and our AI provider is encrypted using industry-standard TLS encryption.

4. Data Storage and Security

Your account information and saved case data are stored on secure servers operated by Supabase, our cloud database provider, running on PostgreSQL infrastructure. We implement reasonable technical and organizational measures to protect your information. No method of electronic storage or transmission is 100% secure.

5. Data Retention

We retain your account information and case data for as long as your account is active. If you delete your account, we will delete your stored case data within 30 days, except where we are required to retain it by law. You may request deletion at any time by contacting info@vindicafile.com.

6. Your Rights

Depending on your location, you may have rights including access, correction, deletion, portability, and objection. To exercise any of these rights, contact us at info@vindicafile.com. We will respond within 30 days.

7. Cookies

Vindica uses essential cookies and local browser storage to maintain your login session and save your progress within a session. We do not use advertising cookies or third-party tracking cookies.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by prominent notice on the platform.
